Licence Administration

The license administration provides an overview  the used or available user licenses. Furthermore, the special additional functions of the current usage variant and the stored customer contact information are displayed.

Note:

Currently, no additional users or changes to the usage variants can be requested in this overview. This will be added in a later version. Until then, please contact us directly for all requests regarding license changes.

 

The following information can be read in this overview:

 

Maximum number of active users: Displays the number of concurrent user accounts purchased for the system.

Current number of active users: Displays the number of available user accounts currently assigned to an active user.

Customer ID

Instance Number

Server IP

Current Version

List of users: Displays the list of all active and inactive users. You can activate only as many users as the maximum available number of active users. You can activate or deactivate a user by opening the object from the list and setting the state on the top right of the form to "Active" or "Inactive" and by saving it. If it does not already exist, you must generate a password for the user in the "Users" section of the form or using the corresponding function next to the user list. The change is made immediately and when deactivated, a previously active user can no longer log in, but the existing login of this user remains until logout. The same overview and functions are available in the administration section "Master data" behind the tile "Persons and users".

Note:

You can only log in once at a time per user account. However, the assignment of users to the available user accounts is flexible at any time. For example, if you have users who should only work on a ticket in the system from time to time, you do not need to purchase a permanent user account for each of them, but may need to maintain a small flexible account pool. You can create all potential users, leave them "Inactive" and activate them only for the required period of time. Thus, several users can share one user account, if not needed in parallel. However, this is not automatic, but must be done in each case by the administrator. In this case, it takes only a few seconds. The individual user password is not deleted by deactivation.

Active Sessions

The list of active sessions shows all users and persons currently logged in to the system.

Furthermore, the time of login and the idle time in seconds are displayed.

The "CLOSE" button can be used by the administrator to end the user session immediately. This is useful if a user has closed the browser without logging out properly and does not want to wait for the auto-logout for logging back in, or if the session has otherwise not terminated properly.

The Refresh button updates the list.

Note:

Logout is only possible for users who no longer have the browser tab open. As long as a user is still actively working in the system, he cannot be removed, i.e. this security is built in not to accidentally log out the wrong user, whose current unsaved work progress might then be lost. In this case, the user is still in the list after the refresh..
